What is Microsoft Sharepoint?

SharePoint is a business collaboration platform with document management capabilities. SharePoint uses workflow applications and databases to allow users to share documents and data with each other and remotely. Essential Sharepoint creates a place where organizations can store, share, and collaborate on documents. SharePoint is available for web browsers, Windows, Mac OS, Android, and iOS.

There are a variety of SharePoint products that comprise what is commonly referred to as Microsoft SharePoint:

  • SharePoint Online – This is a cloud service that allows users to create sites and share documents in the cloud. The advantage of using this is that you don’t have to install a server on-premises.
  • SharePoint Server – The on-premises version of SharePoint. Includes the features of SharePoint Foundation.
  • SharePoint Foundation – Can be used to create sites and collaboration on web pages and documents. This package is free for on-premises deployment.
  • SharePoint Designer 2013 – Used to build workflows. Last released in 2013.
  • OneDrive for Business Sync – Used to sync documents from a site or OneDrive. Available as a desktop program.

Why is Microsoft SharePoint Important?

For enterprises that use documents to store business data, Microsoft SharePoint is very important for a number of reasons:

  • Makes documents more accessible to users for collaborating
  • Share documents with multiple users
  • Collaborate with users on documents
  • Central storage of data

Most significantly, it allows the user to store documents in a format that is accessible to other users. Users can access SharePoint documents remotely from any device.

When using SharePoint, documents aren’t stored on a server but online. When you view a SharePoint folder you can view additional information like version history that is unavailable to those using server-based documents.

As a consequence, users can collaborate much more easily. SharePoint documents can be shared with multiple users across multiple sites through one portal. Documents don’t need to be sent back and forth and users can collaborate to bring their ideas together.

The centralized storage capabilities of SharePoint is another beneficial feature. Documents can be stored in one location that is accessible to a variety of employees. In addition, posts can be created to notify employees about important events they need to be aware of.

Microsoft SharePoint Security Monitoring

In both on-premises and cloud versions, Microsoft SharePoint gets access to your file storage space. This means that the system can be used as an entry point for data theft and so your SharePoint implementation needs to be kept secure.

You can set up user accounts to access SharePoint and the files and folders in your file server. It is important to create one account per user rather than just taking the shortcut of letting many users access the same account. Once you have created all of your user accounts, you also need to track their activity and ensure that they can’t be taken over by data thieves.

The easiest way to implement security monitoring for Microsoft SharePoint is to get an automated tool to do it for you. One example of this type of facility is the ManageEngine SharePoint Manager Plus. This tool assesses account security and tracks user activity, creating audit reports. To get a better idea of how SharePoint security monitoring should be implemented, try the 30-day free trial of the SharePoint Manager Plus system. The software installs on Windows Server.

Microsoft SharePoint Use Case #1: Content Management

camera-coffee-colorful-1391374

Content management is one of the most widespread use cases of Microsoft SharePoint. Every day, enterprises generate a variety of content from documents and emails to more immersive content like videos and presentations. Managing all these diverse forms of content can be challenging.

SharePoint provides you with a number of tools that allow you to manage this content more effectively.

When using SharePoint as a content management solution, enterprises can:

  • Create a central location to manage content where documents can be seen, shared, and interacted with by entire teams
  • Collaborate to produce documents
  • Manage documents with unique document IDs
  • Configure user permissions to restrict access
  • Store media content in optimized libraries
  • View video and audio content through a built-in player

When put together, these features create a seamless document management experience. SharePoint provides you with a central hub for employees to produce and interact with content. The documents accessible to employees can be controlled by an administrator with access permissions.

Each document can be found easily through the use of document IDs. In the event that media is being used, videos can be viewed within SharePoint without having to use a third-party tool.

Microsoft SharePoint Use Case #2: Business Intelligence

Using data to generate insights has become one of the core aims of modern enterprises. Business Intelligence or BI, has evolved as a term that refers to using reports and dashboards to highlight the performance of a business. SharePoint acts as a BI site where organizations can share and interact with this data.

The BI experience on SharePoint is driven by a number of features: Excel Services, PerformancePoint, Visio Services, Power Pivot, and Power BI.

  • Excel Services – You can use Microsoft Excel to create a spreadsheet and then share the data in a document library for employees to view.
  • PerformancePoint – Provides you with tools for building dashboards to display BI metrics and key performance indicators (KPIs).
  • PowerPivot – A feature for Excel that allows you to analyze data and create data models.

These tools allow you to create a platform to view your BI data as you see fit. SME’s can use Excel Services to create basic performance data, and larger organizations can use PerformancePoint to provide that top-down perspective over business processes.
